[PAGE 2] Tiffany told the board she is working on the buildout for a new registration program for summer camp. It is all web based with counselors having access to information they need, while also being HIPPA compliant. They will utilize tablets to access this information. Tiffany told the board that applications are coming in for returning summer staff. Those wanting to apply to be a lifeguard need to be looking for classes. There is a link to the Red Cross that can be found on our website that lists locations for these. She anticipates a large portion of returning pool staff. Tiffany reported that we are again offering the Artful Exploration classes funded in part by a grant from the Indiana Arts Alliance which covers materials and instructors. Each week is a different art form. The first class on January 8th was painting on wood. There were 13 in attendance. Fees for each class are $10 per person. They also have a dance class scheduled for one of the weeks. Tiffany told the board that Kris Schwickrath will be instructing a Mindfulness class in February. Kris is a certified coach and educator. She will be teaching people to get through the long winter months and teaching them how to calm ourselves in stressful situations. The design process for the summer guide has begun. Tiffany and Nesha have started collecting dates and pictures. SPECIAL EVENTS Nesha recapped our holiday events. She told the board that in addition to DIY and Dessert and Gingerbread House class the staff served four meals in two days. On Friday, December 12th we had Breakfast with Santa for Seniors in the morning and that evening we served Merry Miles for cross country participants. Then Saturday, December 13th we had our two servings for Breakfast with Santa. She thanked the staff for all their work in December and thanked Terie for helping with Breakfast with Santa as well as the Halloween festival and upcoming Highland Games. Nesha also responded to 100 Letters to Santa personalizing each one. Staff also created a float for the Holiday parade. Nesha reported that all bands for Music in the Park have been booked for this summer along with opening acts and food vendors for each one. We will be releasing this information on Thursday at noon. 2 [PAGE 3] Nesha told the board that our annual Daddy/Daughter and Mother/Son Nights will be February February 13th and February 20th. This year we have hired a magician to put on a magic show. The events have also been moved to Friday evenings this year. They have previously been on Sunday evenings. Nesha and Tiffany have put together a sponsorship guide booklet for this year. Sponsors are needed for many of our free events and also help support those we charge for, but cost us a lot to put on like Halloween. This year’s Easter Egg Hunt is scheduled for March 28th. SPORTS REPORT Chris is working on new equipment for the renovated concession at Sunrise. He is meeting with Coca-Cola to have a fountain installed. Chris is happy to report that his concession manager from last year is returning. He is also working again with Cutting Edge Pizza out of Fairland to supply pizza for both parks. Chris is working on final designs for graphics to go in the fitness room. The money for this project was approved last year. He also signed a ??? with BGI Fitness to service equipment in the fitness room. We are waiting on delivery of some new equipment. BGI Fitness will get the equipment then bring it here to install. Gary asked what we would do with the old equipment. Chris said it would have to be auctioned off. Chris is also trying out disposable wipes instead of towels and spray bottles to help alleviate the staff from having to launder and fold the towels on a daily basis. He will see how many get used and determine if it is still cost effective. Chris had new video surveillance signs made and installed them at the civic center. Volleyball leagues are set to start next week. He currently has 6 coed teams and 5 women's teams. The adult basketball league currently has 2 teams registered. 3 [PAGE 4] Chris held a strength training workshop last month and had 19 attend. It went really well and he plans to hold another one in March. Chris told the board that the Girls Basketball Camp will be held February 23 & 25. The cost is $30 per camper. Grades 1-3 will meet from 6-7pm and grade 4-6 will meet from 7:15 - 8:15pm. Chris has the schedule out for the spring and summer for softball tournaments. Still waiting to finalize the fall dates. Contracts have been sent to USSSA. Gary asked about offering any other sports that people could do. Chris will look into it. Tammy suggested archery or whiffleball. Chris will look at what interest is. MAINTENANCE Doug reported that the maintenance staff has been cutting down and trimming trees. It has been awhile, but now much easier with our own bucket truck. They have 15-20 stumps to remove. Doug also reported that staff had to clean out a large homeless camp at Blue River. A tree had been set on fire and the fire department was called. Doug asked Terie and Gary if they got their logins for Traction, the new maintenance work order software. Having access allows them to let Doug know when they see things that need done in the parks. He also asked Scarlett and Tammy if they would also like access to let him know. Doug is still working on quotes for the pool floor. They have also redone the tiki hut. DIRECTOR REPORT Trisha told the board that Brent Ross let her know that he will not be able to fulfill his mowing contract for this year due to knee surgery. He and his wife have always done a very nice job and taken pride in their work. She wishes him the best with his surgery. She is looking to replace his portion. This is the second year of a three year contract. Trisha told the board she is working on goals for the department and her team for the new year. 4 [PAGE 5] Trisha told the board that Jenna Martin, PR Director for the city, is working on a 250 year celebration. Plans are in the works to possibly use the parks and she will let them know when those details are finalized. Trisha reported that the master plan digital version is now on our website and can be accessed by the public. Trisha gave the board an update on the blue river light replacement project. Duke Energy representative Steve Lee is still working on this and will be there this week. There are 15 poles left in phase 1 and will then proceed to phase 2 and 3. She is not sure what has caused the delay. Trisha is going to ask him for a timeline. All three phases were supposed to be done by now. She is concerned about upcoming spring/summer events like soccer, softball and music in the park and if the work being done will interfere. Gary wants to talk about items from a special meeting last year - when appropriate to start the process.
